Account & Data Deletion

Last updated: September 19, 2026

This page explains how to request deletion of your OneWave account and the personal data associated with it. OneWave Systems, Inc. ("OneWave," "we," "us," or "our") provides a software platform used by sports medicine and performance clinics ("Clinics") to manage scheduling, treatment programs, communications, and billing for their patients and athletes ("Patients").

1. How to request deletion

To request deletion of your account and personal data, email us at hello@onewavesystems.com from the email address associated with your OneWave account, and include the following so we can verify and locate your account:

  • The full name on the account.
  • The email address (and, if applicable, phone number) used to sign in.
  • The name of the Clinic you are associated with, if known.
  • A short statement that you would like your account and data deleted.

We will confirm your request by email and complete verified deletion requests within 30 days. We may need to verify your identity before acting on a request in order to protect your account and any sensitive health information.

2. Who controls your data

OneWave is provided to Clinics on a business-to-business basis. If you are a Patient, your Clinic generally controls your health and treatment records, and OneWave processes that information on the Clinic's behalf. Because of this, we may need to coordinate your deletion request with your Clinic, or direct part of your request to the Clinic that manages your care relationship. Contacting your Clinic directly is often the fastest first step for questions about your own health records.

3. What is deleted

When we process a verified deletion request, we delete or de-identify the personal data we hold about you, which may include:

  • Account and profile information (name, email address, phone number, password, date of birth, profile photo, and emergency contact details).
  • Treatment and rehabilitation programs, clinical notes, performance testing results, and wellness survey responses linked to you, subject to the Clinic's control and legal retention requirements.
  • Wearable and fitness data imported into the Service (e.g., from Apple Health, Health Connect, Whoop, Oura, Fitbit, Garmin, or Google Fit).
  • In-app messages, communications, and community content associated with your account.
  • Usage and diagnostic records tied to your user identifier.

4. What may be retained

Some information may be retained after your account is deleted where we have a legal or legitimate basis to do so. This may include:

  • Records we are required to keep to comply with legal, tax, and recordkeeping obligations. Clinical records, in particular, may be subject to longer retention periods required by law or by your Clinic.
  • Billing and transaction references needed for accounting and to resolve disputes. Payment card details are handled by Square and are not stored on our servers.
  • Backups, which are retained for a limited period and then overwritten on a rolling basis.
  • Anonymized or aggregated data that can no longer be used to identify you.

Where records must be retained, we restrict access to them and delete them once the applicable retention period ends.

5. Deleting content yourself

You can review and update much of your profile information directly in the OneWave app, and you can disconnect wearable integrations at any time from your account settings, which stops new data from being imported. For full account deletion, please use the email process described above.

6. Contact us

For any questions about account deletion or how your data is handled, contact us at hello@onewavesystems.com. You can also review our Privacy Policy for more detail on how we collect, use, and retain information.
